Sharing and Distributing

LoonaLabs provides flexible and powerful options to share and distribute your learning creations, ensuring your content reaches the right audience in the most effective way. Whether you need to collaborate with teammates, enroll learners, or provide public access, our sharing features streamline the process.

Accessing the Share Options

1. Locate and click the "Share" icon situated in the top ribbon of the editor screen.

2. A pop-up window will appear, presenting you with distinct sharing and distribution options.

Understanding Your Sharing Options

Option 1: Collaborate (Internal Team Members)

• Purpose: Share your creation with colleagues who need to review, edit, or provide feedback directly within the platform.

• How it works:
1. In the sharing pop-up, click on the "Collaborate" tab.
2. Use the search bar to find your teammate by typing their name or email address. You can also select from a dropdown list or search by business unit, department, or position if your organisation uses these attributes.
3. Select the desired permission level (e.g., "Edit," "Comment").
4. Click "Send Invite."

• Recipient Experience: Your teammate will receive an email notification letting them know they have access to the creation to review, work on, or provide feedback. If they don't yet have a LoonaLabs account, they will be prompted to set one up (as per the "Invitation to Collaborate & Account Setup" email). Once logged in, the creation will appear in their Creations section.

Option 2: Learn (Internal Learners with Active Participation)

• Important Note: To distribute for learning, your creation must be published.

• Purpose: Share your published creation with anyone who currently has a learner seat in your LoonaLabs account. This is ideal for formal training where participation and analytics are required.

• How it works:
1. In the sharing pop-up, click on the ‘Share’ tab.
2. Use the search bar to find individuals by typing their name or email address. You can also search by business unit, department, or position, or select from a dropdown list.
3. Ensure the permission level is set to "Learn" (Indicating active participation).
4. Click "Send Invite."

• Recipient Experience:
• Existing User: If the recipient already has a LoonaLabs account with an available learner seat, they will receive a ‘Course Enrolment Confirmation’ email notification. The creation will appear directly in their Library, allowing them to actively participate (e.g., complete assessments, track progress). They simply need to click the ‘Start Learning Now" button in the email to access the creation and begin their learning journey..

• New User: If the recipient does not yet have a LoonaLabs account, an email will be triggered (as per the ‘Course Invitation & Account Setup for Learners’ email). They will need to click ‘Complete Setup & Start learning’ button and verify their account. Upon successful setup, the creation will be accessible within their Library, and they can actively participate.

Option 3: View (Internal Viewers for Resources/No Assessment)

• Purpose: Share published content with internal users who only need to view the material without engaging in assessments or having their progress formally tracked. This is perfect for informational resources, guidelines, or reference materials.

• How it works:
1. In the sharing pop-up, click on the "Share" tab.
2. Use the search bar to find individuals by typing their name or email address. You can also search by business unit, department, or position, or select from a dropdown list.
3. Ensure the permission level is set to "View" (or similar, indicating read-only access).
4. Click "Send Invite."

• Recipient Experience: Similar to the ‘Learn’ option, recipients will receive an email notification. If they are new users, they will be guided through account setup. Once logged in, they can access the creation for viewing purposes.

Option 4: Public Link (External Guests/Viewers)

• Purpose: Provide public access to your content for guests or external viewers. This is ideal for marketing materials, public resources, or content that doesn't require a formal login or detailed tracking.

• How it works:
1. In the sharing pop-up, click on the "Share" tab.
2. Locate the "Enable Public Sharing" toggle and switch it to "Yes."
3. A unique public link will be generated. You can copy this link.
4. You can then share this link directly via email, your website, or any other communication channel.

• Recipient Experience: When a guest accesses the public link, they will be prompted to enter their first name, last name, and email address. They do not need a LoonaLabs account or login credentials. Once they provide their details, they can view the content.

• Tracking: Even without a login, LoonaLabs allows you to track basic analytics for these guest viewers, including their first name, last name, email, and confirmation that they have seen the content.
